Who is responsible for your data

Where we advise clients established in the European Union, we process personal data in a manner consistent with Regulation (EU) 2016/679 (GDPR) in addition to the Vietnamese Law on Personal Data Protection and Decree 13/2023/ND-CP.

What we collect and why

Enquiry and download forms. Name, company, work email, telephone, preferred language and the details you choose to describe. We use these to respond to your enquiry, to run a conflict check before accepting a matter, and to send the document you requested.

Correspondence. Emails and call notes relating to a prospective or existing mandate, retained as part of the file.

Website analytics. Aggregated usage statistics, collected only if you consent. Details in “Analytics and third parties” below.

Server logs. Our server records the IP address, date and time, requested page and browser identifier of each request. These logs exist to keep the site available and to investigate abuse, and are kept for 30 days.

Analytics and third parties

Google Analytics 4. If you accept analytics cookies, we use Google Analytics 4 to understand which pages are read and how visitors arrive. IP addresses are shortened before storage and we do not combine the data with any other source to identify you. The processor is Google Ireland Limited, Gordon House, Barrow Street, Dublin 4, Ireland, which may transfer data to Google LLC in the United States on the basis of the European Commission’s standard contractual clauses. Nothing is loaded, and no analytics cookie is written, before you accept — you can withdraw at any time through “Cookie settings” in the footer.

Google reCAPTCHA. Our forms use reCAPTCHA v3 to tell people apart from automated submissions. When you submit a form, your IP address and information about your interaction with the page are transmitted to Google for that assessment. We rely on our legitimate interest in preventing abuse of the enquiry channel; without this check the form would be unusable.

Fonts. Typefaces are loaded from Google Fonts, which receives the IP address of the request. No cookie is set for this purpose.

Hosting and email. The site runs on a virtual private server operated by our hosting provider, and enquiry mail is delivered through the firm’s Microsoft 365 tenant. Both act on our instructions under written agreements.

Where enquiries are stored

Every submission reaches [email protected] and is also written to this website’s own database, so that an email failure cannot lose your message. Records in the website are visible only to the firm’s administrators, are not published, and follow the retention periods below.

Legal basis

We process enquiry data on the basis of your consent, given when you submit a form, and on our legitimate interest in responding to business enquiries and operating the firm. Client data is additionally processed to perform the engagement and to comply with statutory obligations, including anti-money-laundering and tax record-keeping requirements.

Who sees your data

Your details are seen by the lawyers and staff working on your matter. Where a mandate involves another ECOVIS member firm, we share only what is necessary to coordinate the work, and only after telling you. We do not sell personal data and we do not pass it to advertisers.

Service providers used to operate this site and our email systems process data on our instructions under written agreements.

How long we keep it

Enquiries that do not lead to a mandate are deleted within 24 months. Client files are retained for the period required by professional and statutory rules in Vietnam, generally ten years from the close of the matter.

Your rights

You may request access to your data, correction, deletion, restriction of processing, or a copy in portable form, and you may withdraw consent at any time — withdrawal does not affect processing already carried out. Marketing consent can be withdrawn with one click in any email we send.

Write to [email protected] to exercise any of these rights. If you consider that we have not handled your request properly, you may complain to the Department of Cybersecurity and High-Tech Crime Prevention (A05) of the Ministry of Public Security, which supervises personal data protection in Vietnam, or — if you are in the European Union — to the supervisory authority of your country of residence.

Spam protection

Our forms are protected against automated abuse. We record the time a form was opened and the IP address it was sent from, and we use Google reCAPTCHA v3, which analyses interaction with the page and returns a score. Google processes that data as described in its own privacy terms; we see only the score. This processing rests on our legitimate interest in keeping the enquiry channel usable. Submissions blocked as spam are retained for 30 days so that a genuine enquiry caught in error can be recovered.
